Roles & Responsibilities:  Full Time position

Candidate for this position provides principal secretarial support in an office, normally to one upper management individual and to the subordinate staff of that individual.  Maintains close coordination and is highly responsive to day-to-day activities of the staff.  Works independently while receiving little detailed supervision and guidance.  Performs varied clerical and secretarial duties requiring knowledge of office routine and an understanding of the organization, programs, and procedures related to the work of the office.  Is fluent in Microsoft Office and Microsoft SharePoint.  Maintains a professional office atmosphere and work place, meets and greets important and high ranking visitors and understand Navy protocol and customs.  Coordinates and maintains meeting room calendars.  Interacts routinely with the support staffs of more senior and equivalent managers. 


Responds to routine telephone requests that have standard answers; refers calls and visitors to appropriate staff.  Controls mail and assures timely staff responses; may send form letters.  Maintains staff’ members calendars, makes appointments, and arranges for meeting rooms.  Maintains recurring internal reports, such as contractor time and leave reports, office equipment listings, correspondence controls, and training plans; printing maintenance, or other services.  Established and maintains office files.

Specific Tasks include:

Manage AID Admin Office

  • Manage calendars, schedule conference rooms, maintain supplies

  • Support visitors and staff that requires assistance

  • Provide office support to Division Head, Chief Engineer, and Division staff as required

  • Create, modify and work on Defense Travel System (DTS) travel authorizations and vouchers travel authorizations and vouchers

  • Access data from various sources and organize into appropriate documents, charts, graphs, and spreadsheets for Division management

  • General office support (print, copy, scan, answer phones, order supplies, etc.)

This position may also be responsible for working with AID Management to track all training requirements for the Division. 

Work Conditions:   

Conditions will vary.  Most work performed in enclosed buildings.  Work will include sitting, standing, walking, lifting and reaching.  Must be capable of lifting 50 lbs. unassisted.



High School Diploma or equivalent

3 or more 2 years’ experience performing the stated functions above or equivalent.

Following minimum skills & abilities with demonstrated experience:

  • Use of office equipment and computers

  • Knowledge and use of Microsoft Office (e.g. Word, and Excel) & Microsoft SharePoint

  • Must have knowledge of Defense Travel Systems (DTS)

  • Solid communication skills (writing and speaking)

  • Good organizational skills

  • Good interpersonal skills, works well with others, Customer Service Attitude

U S Citizenship required and be granted at minimum Secret DoD Security clearance prior to hire and maintain clearance throughout employment.
