Client Relations Specialist   
All Kinds Veterinary Hospital is looking for a full-time Client Relations Specialist.
We are a small animal hospital that focuses on not only keeping pets healthy and owners happy, but to be a trusted partner in the lifelong care of your companion, and be the first source you can turn to for help. We like to take as much time as possible with our patients so we can give them the full attention they deserve, and address all your questions. It’s our responsibility to educate our clients to the best of our ability and provide the highest quality of care to cats, dogs, birds, reptiles, and pocket pets, and occasionally even fish!
The Client Relations Specialist is the client’s first contact when calling or visiting the practice and as such represents the professional image of the practice to callers and visitors.  The Client Relations Specialist answers telephones, greets clients, prepares patient check-ins, receives and relays client correspondence, updates client financial records. The exceptional Client Relations Specialist has the ability to diffuse negative client situations and foster client bonding. As the first point of contact to the hospital, the ideal candidate creates a welcoming atmosphere for clients. 
Essential Duties and Responsibilities:  
  • Ability to multi-task and work courteously with fellow employees and clients in a very fast paced environment.
  • Must have a strong work ethic, professional attitude, and appearance.
  • Previous receptionist and veterinary practice experience are desirable but not required.
  • Ability to comprehend quickly: database/client filing system, medical/veterinary terms, various appointment categories, and office procedures.
  • High school diploma or equivalent.
  • Strong typing skills required.
  • Computer knowledge required; comfortable with Microsoft Office, keyboarding, and use of communication tools such as faxing, scanning documents and saving to correct files, and email.
  • Can work to maintain an effective veterinarian appointment schedule, screening emergencies and prioritizing cases that need to be seen.
  • Can accurately record pertinent conversations and exchanges with clients in the digital medical record.  
  • Work variety of shifts including 2 Saturdays a month.
  • Be flexible in attitude and work habits.
  • Answer all client telephone inquiries, schedule appointments, greet clients, prepare client check-ins.
  • Receive and relay client correspondence, update client records in a paperless veterinary practice.  
  • Perform reminder calls/patient follow-up calls on a daily basis.
  • Admit patients and handle medical records entries accurately.
  • Handle client/patient transfers with ease.
  • Prepare client invoices for services performed.
  • Accurately and empathetically communicate estimates/treatment plans to clients.
  • Accept payments for services in quick, professional manner.
