Job Title: Administrative & Finance Coordinator / Accounts Payable Manager

Job Summary:
Provides accounting and administrative support to management and the Council staff through conducting and organizing duties and activities including receiving and handling of information. Oversees Accounts Payable process.
Essential Duties & Responsibilities:
Fiscal management
Accounting System –
- Input Cash Receipts.
- Prepare Journal Entries as needed.
- Accounts Payable:
o Input Accounts Payable for outside vendors
o Maintain and communicate the Accounts Payable schedule for all Abila users
o Approve all AP sessions from other Abila users
o Print AP checks and process all AP payments
Reconciliation
- Compute, classify, and record numerical data to keep financial records complete.
- Perform any combination of routine calculating, posting, and verifying duties to obtain primary financial data for use in maintaining accounting records. May also check the accuracy of figures, and calculations pertaining to business transactions recorded by other staff.
- Manage day to day grant fund expenditures including funding for individual training accounts.
- Manages and reconciles grant files for audit purposes
- Performs reconciliation for numerous TCC accounts Including Workforce Participant training accounts and provide detailed records for reporting
- Audit accounting records for accuracy and compliance with federal and state regulations and organization policies.
Vouchers
- Completes all vouchers for recurring payments.
- Verifies completeness of vouchers created by other staff members.
- Verifying the accuracy of invoices and other accounting documents or records.
- Verifies grant funding is adequate for voucher payment.
Filing
- Maintains A/P Files in Secure Location.
- Responds to staff and vendor inquiries regarding invoices/vouchers.
- Develop and maintain an organization system for record retention of items located on site.
TCC Credit Cards
- Maintains log and creates Credit Card spreadsheet (excel) for each billing cycle.
- Creates vouchers and enters data into the ABILA accounting system.
Office Management and Support
- Professionally received telephone calls.
- Adept at usingall features of the telephone system and voice mail.
- Basic knowledge and maintenance of all equipment located in the operation center.
- Participates as needed in special projects and assignments—may include gathering data and compiling various reports for management.
- Manage projects and contribute to committee and teamwork.
- Serves as administrative liaison to vendors and contractors.
- Reconciles petty cash account as needed.
- Make travel arrangements and issue per diems for staff travel
- Engage in new hire orientation by way of admin and fiscal training
- Other duties as assigned.
Supervisory Responsibilities:

Knowledge, Skills & Abilities:
- Knowledge of basic finance and accounting principles.
- Experience with financial accounting systems and clerical procedures and systems such as word processing, managing files and records, transcription and spreadsheets.
- Working knowledge of standard office equipment.
- Strong organizational skills, ability to manage multiple projects simultaneously.
- Ability to communicate effectively and clearly, both orally and in writing. Strong active listening skills are a must.
- Strong application of grammar, spelling, punctuation and rules of composition; letter and report writing.
- Attention to detail and accuracy.
- Ability to tactfully and assertively handle difficult and sensitive situations.
- Understanding of and respect for confidential information.
- Critical thinking skills, using logic and reasoning to identify potential issues and propose solutions.
Qualifications / Required Education and Experience:
- An Associates degree with emphasis in accounting and a minimum of two (2) years experience, with demonstrated progressively complex responsibilities are required. Degree may be waived with five (5) years commensurate experience.
- Must be able to work evenings and weekends as required.
- Must have a valid driver’s license.
Work Environment:
Work is performed primarily in an office setting. Work may require frequent travel to off-site locations for meetings and events.
Physical Demands
The position requires the ability to operate standard office equipment and keyboards. Must have the ability to lift and carry up to 50 pounds and to walk short distances. Position may require use of a motor vehicle
Conditions of employment:
· Must have a valid driver’s license and daily access to a vehicle.

The salary range for this position is $66,911 to $69,490. Starting salary based on education and experience.
