We are seeking a detail-oriented and proactive Administrative Assistant to support our growing team and help ensure the smooth operation of our office.


Key Responsibilities:

  • Provide administrative support to partners, managers, and staff, including scheduling meetings and managing calendars.
  • Answer and route incoming calls, emails, and correspondence in a professional and timely manner.
  • Prepare and format client documents, financial statements, reports, and engagement letters.
  • Maintain and organize client files (digital and physical) in compliance with firm policies and industry regulations.
  • Assist with tax return assembly, e-filing, and document processing during peak seasons.
  • Handle office tasks such as ordering supplies, managing mail, scanning documents, and ensuring common areas are tidy.
  • Greet and assist clients and visitors, ensuring a professional and welcoming environment.
  • Help coordinate firm events, deadlines, and project timelines.
  • Support billing and time-entry processes by working with accounting staff and using firm software.

Qualifications:

  • High school diploma or equivalent required; associate or bachelor’s degree preferred.
  • 2+ years of administrative experience, ideally in a professional services or accounting firm.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); experience with accounting or document management software is a plus.
  • Strong organizational skills with attention to detail and accuracy.
  • Excellent communication and interpersonal skills.
  • Ability to handle confidential information with discretion.
  • Flexibility and reliability, especially during peak tax season or deadlines.
  • Must pass a criminal background check.
  • Salary range is $21 - $25 per hour depending on qualifications and experience.

Work Environment:

  • This role is typically on-site during normal business hours, with occasional overtime required during peak periods (e.g., tax season).
  • Professional business attire and demeanor are expected.
