Duties

·       Reports directly to the Administrative Assistant

·       Distribute email, correspondence memos, letters, faxes and forms

·       Assist in the typing of regularly scheduled reports

·       Maintain contact lists

·       Develop & publish monthly newsletter and calendar

·       Develop & distribute a weekly bulletin

·       Order supplies

·       Help schedule and coordinate meetings, interviews, events and other similar activities

·       Sending out and receiving mail and packages

·       Preparing business correspondence, typically using Microsoft Office Suite (Word, Excel, PowerPoint, Access, Outlook)

·       Entering data using the 10-key pad

·       Sending faxes and emails

·       Managing documents and files

·       Addressing resident concerns

·       Providing multifaceted general office support

·       Assisting with the daily operation of the facility

·       Operating a range of office machines such as photocopiers and computers

·       Help manage the master resident listing

·       Greeting guests and visitors

·       Maintain sign-up sheets for various activities

·       Make restaurant reservations and cancellations for resident activities

·       Make up “Bus Trip Package” for each bus trip

·       Maintain Activity Board in lobby

·       Ensure that everything is setup for parties and activities

·       Develop interpersonal relationships with residents

·       Other duties as assigned
